Privacy Policy

1. Introduction

The Arches Suites LLC ("The Arches Suites," "we," "us," or "our") operates the website located at [thearchessuites.com] (the "Site") and the hotel property known as The Arches Suites, located in Mott Haven, Bronx, NY 222 East 135th Street Bronx, NY 10451 (the "Property"). This Privacy Policy explains what personal information we collect through the Site and in connection with a Property stay, how we use and share it, and the choices available to you.

 

This Policy applies to guests, prospective guests, and other visitors to the Site. It does not apply to our employees or job applicants, who are covered by separate notices.

2. Information We Collect

2.1 Information You Provide Directly

  • Reservations: name, email, phone number, mailing address, arrival/departure dates, room preferences, number of guests, special requests, and payment details, whether booked through our direct booking engine or an OTA (see Section 2.4).

  • Check-in and identity verification: because The Arches Suites uses contactless self check-in (no staffed front desk), we or our check-in technology vendor collect information needed to verify your identity and issue mobile/digital room access — which may include your government-issued photo ID, date of birth, and a live selfie photo matched against your ID. See Section 3 for biometric-specific handling.

  • Account information, if you create a profile to manage bookings.

  • Communications you send us (email, phone, text/SMS, contact forms, guest chat/messaging), including for guest service requests during your stay.

  • Extended-stay and corporate housing information (for stays of 28+ nights), which may include employer/sponsoring-organization details.

  • Marketing preferences, such as opting in to promotional email or SMS.

2.2 Payment Information

Payment card information is collected and processed by our PCI-DSS-compliant booking engine and payment processor Mews or successor PMS. We do not store full payment card numbers on our own systems.

2.3 Information Collected Automatically

When you use the Site, we (and our service providers) automatically collect:

 

  • IP address, device and browser type, operating system, referring/exit pages, and pages viewed;

  • Cookies, pixels, and similar tracking technologies used for site functionality, analytics, and advertising, including retargeting pixels from Google, Meta, Expedia TravelAds, and Trivago/Tripadvisor (see Section 5);

  • Approximate location derived from IP address.

2.4 Information From Third Parties

If you book through a third-party channel — Airbnb, Booking.com, Expedia, Hotels.com, VRBO, or another OTA — that platform shares your reservation and contact information with us so we can fulfill your stay. Their own privacy policies govern the information they collect directly.

2.5 Property and Wi-Fi Usage

If you connect to guest Wi-Fi at the Property, we (or our network provider) may collect device identifiers and connection/usage data for network security and troubleshooting.

2.6 Video Surveillance

The Property uses closed-circuit video surveillance (CCTV) in common areas such as the lobby, hallways, and parking garage for safety and security purposes. Guest rooms and bathrooms are never monitored. 

3. Biometric Information

 

As part of our contactless check-in process, we may use an identity-verification vendor to compare a photo of your government-issued ID against a live selfie to confirm your identity before issuing digital room access. This process may create a biometric identifier (a facial "faceprint" or similar template).

 

  • We use biometric data solely to verify guest identity for check-in and prevent fraud.

  • We do not sell, lease, or trade biometric data.

  • Biometric identifiers are retained only as long as necessary to complete check-in and comply with legal/security requirements, and are then deleted per our retention schedule.

  • Biometric processing is performed by our vendor, MEWS, under its own privacy and security terms.

4. How We Use Information

We use the information described above to:

 

  • Create, manage, and fulfill reservations and process payment;

  • Verify guest identity and enable contactless/self check-in;

  • Communicate with you about your reservation and stay (confirmations, pre-arrival messages, digital keys, service requests);

  • Provide, maintain, and secure the Property (including video surveillance and Wi-Fi network security);

  • Send marketing communications, where you have opted in or as otherwise permitted by law;

  • Operate, personalize, and improve the Site, and measure and optimize advertising performance across our channels (Google, Meta, OTAs);

  • Comply with legal, tax, and regulatory obligations (including hotel occupancy tax and law-enforcement requests); and

  • Detect, investigate, and prevent fraud, security incidents, and misuse of the Property.

5. Cookies and Online Advertising

We and our advertising partners (Google, Meta, Expedia TravelAds/Hotels.com, Trivago, Tripadvisor, and our channel/analytics providers) use cookies and similar technologies to operate the Site, analyze traffic, and deliver and measure advertising, including retargeting ads shown to prior visitors on other sites and apps.

 

You can control cookies through your browser settings, and you can opt out of interest-based advertising from participating companies via the Digital Advertising Alliance and NAI opt-out tools, or Google's Ads Settings and Meta's ad preferences. Opting out of interest-based ads does not opt you out of all cookies needed for the Site to function or complete a booking.

6. How We Share Information

We share personal information with:

 

  • Service providers who perform functions on our behalf, including our property management/booking system [Mews, or successor PMS], payment processor, identity-verification/check-in vendor, Wi-Fi network provider, security/CCTV vendor, email/SMS provider, and IT hosting providers;

  • OTAs and distribution partners, to confirm and manage bookings made through those channels;

  • Advertising and analytics partners described in Section 5;

  • Professional advisors (legal, accounting) and government or law enforcement authorities, where required by law, subpoena, or to protect the safety of guests, staff, or the Property;

  • A successor entity, in connection with a merger, financing, acquisition, or sale of some or all of our assets.

 

We do not sell personal information for money. Depending on your state of residence, certain advertising-cookie sharing described in Section 5 may be considered a "sale" or "share" under state law — see Section 8.

7. Data Retention

We retain reservation and guest communication records for as long as needed for the purposes above and to satisfy legal, tax, accounting, and safety-record-keeping requirements. CCTV footage is retained for a limited period absent an active incident or legal hold. Biometric data retention is addressed in Section 3.

8. Your Privacy Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of targeted advertising or the "sale"/"sharing" of personal information (which may include advertising cookies described in Section 5). These rights are provided, for example, under the California Consumer Privacy Act (as amended by the CPRA) and similar laws in states including Colorado, Connecticut, Virginia, and Utah, among others.

 

To exercise a privacy right, contact us using the information in Section 14. We will verify your request and respond within the timeframe required by applicable law. You may designate an authorized agent to submit a request on your behalf where permitted by law.

9. Children's Privacy

The Site is not directed to children, and we do not knowingly collect personal information from anyone under 13. The minimum check-in age at the Property is 21. If you believe a child has provided us information, contact us and we will delete it.

10. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information, including PCI-DSS-compliant payment processing and access controls on guest and identity-verification data. No system is completely secure, and we cannot guarantee absolute security.

11. Third-Party Links and Booking Widgets

The Site may link to, or embed, third-party services such as our booking engine and OTA listing pages. Those third parties' own privacy policies govern their collection and use of your information; we encourage you to review them.

12. International Visitors

The Property and Site are operated in the United States. If you access the Site from outside the US, your information will be processed in the US, which may have different data protection laws than your home country.

13. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date above reflects the most recent revision. Material changes will be posted on this page.
